The Opportunity
Reporting to the Property Manager, the Office Administrator provides administrative support to the Property Management team and the broader office. This role is responsible for ensuring smooth day-to-day office operations, assisting with resident communications, organizing documentation, and supporting internal departments when needed.
This is an excellent opportunity for someone who enjoys administration, is highly organized, and thrives in a fast-paced office environment. Over time, this role offers development opportunities toward a Property Administrator or Administrative Assistant position.
What You’ll Be Doing:
Office & Administrative Support
- Monitor and support shared department email inboxes, ensuring timely and professional responses or appropriate routing of inquiries.
- Answer and direct incoming phone calls; greet visitors and vendors when needed.
- Support general office operations, including filing, scanning, printing, and maintaining shared resources.
- Prepare documents, correspondence, notices, and internal forms.
- Assist with scheduling meetings, booking rooms, and taking minutes as required.
- Maintain digital and physical filing systems in SharePoint, Yardi, and Microsoft 365.
- Support onboarding documentation for new employees or new properties.
Resident & Department Communication Support
- Help draft, organize, and distribute resident notices and communications.
- Support documentation of resident concerns by entering notes or uploading files in Yardi or other internal systems.
- Assist with processing paperwork for lease renewals, move-ins, and move-outs.
Property Operations Support
- Help track work orders and follow up with the maintenance team.
- Assist with preparing welcome packages and other resident materials.
- Support coordination of contractor or vendor documentation (insurance, agreements, etc.).
- Provide administrative support during onboarding of new properties.
Team Collaboration
- Provide additional administrative support to the broader office as needed, including assisting the Administrative Assistant with general office coordination tasks.
- Assist with special projects, department initiatives, and process improvements.
- Contribute positively to the team culture and uphold The Paragon Way.
What You Bring:
- Completion of Grade 12 or equivalent; post-secondary education in business administration or a related field is considered an asset.
- 1–3 years of administrative or office support experience.
- Strong organizational skills and attention to detail.
- Professional communication skills, both written and verbal.
- Comfortable working with Microsoft 365 (Outlook, Excel, Word, Teams); experience with Yardi or other property management software is an asset but not required.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong customer service mindset and a willingness to learn.
- High level of confidentiality and professionalism.
- Strong interest in developing knowledge in property management and growing within the organization.
